As we scale, we're looking for an experienced, proactive, and highly organized Executive Assistant to support multiple executives. In this role, you will work closely with senior leadership across the business, managing calendars, scheduling travel, coordinating meetings, and assisting with various administrative tasks.
Requirements
- Bachelor’s degree and/or equivalent work experience.
- 5+ years of experience as an Executive Assistant supporting multiple executives in a fast-paced environment.
- Expert level proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail, Drive).
- Excellent communication skills, both written and verbal.
- Exceptional organizational skills with strong attention to detail.
- Ability to prioritize and manage multiple tasks simultaneously.
- Experience communicating with senior executives and external partners.
- Proven ability to maintain confidentiality and handle sensitive information with discretion.
- Self-motivated and proactive with the ability to work independently.
- Experience coordinating travel arrangements; both domestic and international.
- Flexibility to work occasional evenings and weekends as needed.
- Experience working in a remote environment is helpful, but not required.
- Possess a strong background in supporting Executive level personnel.
Responsibilities
- Serve as a primary point of contact for internal and external stakeholders, maintaining a professional and courteous demeanor at all times.
- Manage complex calendars and schedules for multiple executives, prioritizing appointments and meetings effectively.
- Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring smooth and efficient travel logistics.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Assist with planning and executing meetings, events, and special projects, including coordinating logistics, preparing materials, and taking minutes.
- Maintain organized filing systems and ensure confidentiality of sensitive information.
- Assist with various administrative tasks, such as processing expense reports, ordering supplies, and managing office correspondence.
- Proactively anticipate the needs of executives and provide proactive support to ensure their success.
