In September 2022, Stellar Manufacturing was acquired by Leslie's as an affiliate. Stellar Manufacturing is a contract manufacturer of solid particle products and specializes in chemical processing services such as specialty tableting, compaction granulation, and granular filling. We support the manufacturing of a variety of consumer and industrial products including water treatment chemicals, janitorial and sanitation products, agrochemicals, raw materials, and more. Summary: The Executive Assistant will support both HR functions and executive leadership, while ensuring efficient day-to-day office operations. This hybrid role combines responsibilities in human resources coordination, office management, and executive support. The ideal candidate will be a strong communicator, a resourceful problem-solver, and a professional presence who fosters a welcoming and compliant workplace environment.

Requirements

  • Bachelor’s degree strongly preferred; high school diploma with relevant experience accepted.
  • 3–5 years of combined experience in human resources coordination and administrative support.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Microsoft Teams.
  • Excellent organizational, time management, and communication skills.
  • High level of discretion and professionalism in handling confidential information.
  • Conversational Spanish is a plus.
  • Customer service experience is beneficial.

Responsibilities

  • Provide direct administrative support to leadership, including calendar management, meeting coordination, and handling confidential materials.
  • Manage daily office operations including answering phones, sorting mail, and maintaining office supply inventory.
  • Greet and assist visitors, ensuring a professional and hospitable environment.
  • Prepare and distribute company communications, including the quarterly newsletter.
  • Manage access control systems, including distribution and tracking of keys, badges, and video entry tools.
  • Maintain organized filing systems and ensure proper documentation of sign-in/out logs.
  • Coordinate with external vendors (e.g., uniform providers, cleaning services, equipment maintenance).
  • Ensure common office areas remain clean, organized, and presentable at all times.
  • Assist with special projects and perform other duties as assigned by management.
  • Coordinate daily HR functions including onboarding, offboarding, and employee support.
  • Assist with recruitment processes including posting jobs, screening candidates, scheduling interviews, and communicating with applicants.
  • Process background checks, drug screens, and pre-employment physicals, following up as needed.
  • Conduct and coordinate weekly new hire orientation; communicate new hire information to relevant departments.
  • Maintain confidential employee records and personnel files in accordance with company policies.
  • Track and manage attendance records and generate progressive discipline documentation.
  • Respond to employee questions regarding policies, procedures, and benefits; process enrollment forms and change requests.
  • Administer programs including uniforms, employee lockers, and temporary staffing hours submission.
  • Maintain bulletin boards and internal communications (e.g., employee slide shows, announcements).
  • Support employee engagement activities such as job fairs and career events.
