Reporting directly to the Chief of Staff to the CEO, the Executive Assistant will provide high-level executive and administrative support to the President & CEO of Mercedes-Benz USA. This pivotal role serves as the primary point of contact for internal and external stakeholders on all matters relating to the Office of the President & CEO. Acting as a strategic liaison to the MBUSA Executive Committees, Global Headquarters, the MB Dealer Board, and other key leadership groups, the Executive Assistant will help manage communications, coordinate executive outreach, oversee high-impact projects, and ensure operational excellence within the CEO’s office.

Requirements
- Fluent German speaker strongly preferred.
- Bachelor’s degree required.
- 5–10 years of proven experience supporting C-Level Executives in high-performance, fast-paced environments.
- Deep knowledge of administrative procedures, project coordination, and executive-level support.
- Skilled in relationship-building, political navigation, and communication with senior leaders.
- Highly organized, detail-oriented, with exceptional project management abilities and multitasking skills.
- Outstanding verbal and written communication; able to draft high-quality content with minimal oversight.
- Strong decision-making capability with a proactive approach to problem-solving.
- Emotional maturity, discretion, and the ability to handle confidential information with integrity.
- Adept at working both independently and collaboratively within a dynamic team.
- Passion for the automotive industry and alignment with our mission and growth journey.
- Proficient in Microsoft Office Suite; quick to adapt to new technologies and applications.
Responsibilities
- CEO Support & Strategic Prioritization
- Proactively manage the CEO’s schedule, ensuring his time is prioritized for maximum impact and aligned with strategic objectives.
- Track key responsibilities, deadlines, and deliverables to help the CEO meet critical goals.
- Attend select meetings to take notes, capture action items, and ensure timely follow-up.
- Anticipate and resolve issues before they escalate; handle select matters with urgency and discretion.
- Represent the CEO in internal and external communications, acting as a trusted extension of his office.
- Executive Communication & Relationship Management
- Serve as a bridge for seamless communication between the CEO’s office and key stakeholders, including internal leadership, external partners, and staff.
- Draft, edit, and issue sensitive and high-profile correspondence, ensuring accuracy and professionalism.
- Cultivate and manage critical relationships on behalf of the CEO, following up on contacts and supporting ongoing engagement.
- Administrative & Operational Excellence
- Provide comprehensive administrative support, including approvals, calendar management, and logistical coordination.
- Arrange complex domestic and international travel, prepare detailed itineraries, and manage related logistics.
- Prepare and submit accurate expense reports in a timely manner.
- Coordinate key CEO-led meetings and events, ensuring agendas, materials, and participants are prepared and confirmed.
- Support planning for domestic and international visits hosted by the CEO, including securing venues and managing travel and meeting logistics.
- Project & Team Support
- Assist with special projects and high-priority initiatives, providing research, reports, and strategic support as needed.
- Partner with MB Canada’s Executive Administration on NAFTA-related activities and cross-border coordination.
- Support CEO-led recruitment efforts, onboarding new team members, and managing select people initiatives on behalf of the CEO’s office.
- Uphold and enforce compliance with company policies, procedures, and standards.
